What You'll Do:
No two days are the same in this Administrative Assistant role, providing support to 1 VP and 5 Managers in our department.
Administrative support includes projects, reports, and PowerPoint presentations.
You will arrange and coordinate meetings, business travel, and schedule conference rooms and related functions for the department, as well as maintain departmental office supplies and manage Outlook calendars.
You will also provide written and verbal communication on behalf of the VP, including telephone and voicemail coverage.
As our Administrative Assistant, you will need to show integrity when working with confidential information.
It's important to be flexible and able to manage multiple projects as an Administrative Assistant, other duties as assigned may include:
Coordinate the production of presentations for Management Team meetings, Rating Agency meetings, Insurance Regulators and Board reports.
Maintain project confidentiality.
Maintain records, in accordance with the Companies' Record Retention Policy, and electronic and hardcopy filing system for Research and Development department.
Prepare annual budget and planning information in addition to monthly budget variance reports and assist with budget projections as necessary.
Process monthly invoices and expense accounts as requested.
Post and manage documents on corporate intranet systems (Microsoft SharePoint and OneNote).
Provide assistance to the Reinsurance and Risk Management Analyst for treaty and corporate renewals.
Assist and/or provide back-up to other Administrative Assistants or Executive Assistants as requested.
Participate in planning and implementation of company or department-wide meetings.
Attend selected meetings; prepare agenda, provide minutes, and document resulting decisions and action plans.
What It Takes to Join Our Team:
Associates degree (Office Administration or secretarial preferred) or equivalent preferred Previous Administrative or Secretarial experience preferred.
Must maintain and safeguard confidential information.
Strong Personal Computer (PowerPoint spreadsheets and word processing software) skills, Windows environment (Microsoft Outlook, SharePoint, Word, OneNote, Teams, Excel, and PowerPoint).
Must have strong organizational, communications, and meeting planning/facilitation skills.
Strong customer service and public relations skills are necessary.
Ability to work independently, but also in a team environment in collaboration with other departments Administrative Assistants.
Ability to prioritize and manage work for multiple leaders and thrive in a fast-paced environment.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
